How to work with us

Process

1. Discussing your needsWe listen to the problems and the workflow in your office. This stage is free of charge.
2. QuotationThe scope of work, schedule, and price are agreed in writing.
3. DevelopmentWe build the system to the agreed scope of work.
4. Installation and trainingWe install the system on your office's server, meaning the computer that stores the office's apps and data. We then train your staff to use it.
5. HandoverThe handover report (berita acara serah terima, BAST) is signed, and the warranty period begins.
6. Warranty and maintenanceFor 6 months, we fix program errors (bugs). After that, maintenance can continue under a separate contract.

Procurement methods

e-Katalog

PT Hanz Kode Terpadu is registered on e-Katalog, the Indonesian government e-procurement catalogue. Check on INAPROC (external site)

Direct procurement (Pengadaan Langsung)

Agencies can use this method if the value of the work is within the direct procurement threshold. Under Presidential Regulation (Perpres) 46/2025, the threshold is IDR 200 million for goods and other services, and IDR 100 million for consultancy services. Full explanation.

Local small business

PT Hanz Kode Terpadu is a single-shareholder limited company (perseroan perorangan), which is a legal form for micro and small businesses. Our company is domiciled in Jombang Regency. Government agencies must spend at least 40% of their goods and services budget on micro businesses, small businesses, and cooperatives (Perpres 46/2025, Article 20(3)).

Budget

We fit the scope of work to the agency's budget as recorded in SiRUP (Sistem Informasi Rencana Umum Pengadaan, the general procurement plan information system) or in the DPA (Dokumen Pelaksanaan Anggaran, the budget implementation document). We do not split one piece of work into several packages to bring its value under the direct procurement threshold.

Documents we prepare

• A price quotation with a detailed scope of work
• Technical specifications of the product or service
• Supplier legal documents: NIB (business identification number), AHU registration certificate (Ministry of Law, Republic of Indonesia), and NPWP (tax identification number)
• An integrity pact (pakta integritas)
• The handover report and a user manual, once the work is complete

The terms of reference (Kerangka Acuan Kerja, KAK) and the owner's cost estimate (Harga Perkiraan Sendiri, HPS) are prepared by the agency. On request, we provide technical information for the agency to take into account.

What you receive

• A licence to use the software for one agency, paid once, with no monthly rental fee
• Installation, server configuration, and transfer of the initial data
• Technical training for staff, and a user manual
• A 6-month bug-fix warranty from handover
• Data stored on the agency's server

The copyright in the software remains with PT Hanz Kode Terpadu, and the agency receives the right to use it. After the warranty ends, maintenance can continue under a separate maintenance contract.

Payment

Payment is made by bank transfer to the account of PT Hanz Kode Terpadu, following the payment stages (termin) in the work order (Surat Perintah Kerja, SPK) or contract. Payment is usually made after handover. PT Hanz Kode Terpadu is not yet registered for VAT (non-PKP), so it does not charge VAT (PPN).

Pilot partner programme

The first agency to use one of our systems receives closer support during installation and the early period of use. The initial phase costs less than our standard rate, and the warranty period is longer. We publish a case study (an article about how the agency uses the system) only with the agency's written permission.
